Board Meeting Minutes

July 14, 2010

 

In attendance: Ed Cohen, Marty Larsen, Sandy Madsen, John McLane, Sondra Tersigni, Tony Tersigni,   and Virginia Wedding

 

Meeting called to order @ 7:37

 

No Secretary's Report was given

 

Treasurer's Report:

  • There are 28 paid members
  • The total profit for the July Pancake Breakfast was $ 302.26
  • There was a total of 90 breakfast and 33 burritos served
  • The total profit will be reported for the 4th of July food booth at the next meeting
  • Account Totals presented
  • There is a slight discrepancy in numbers regarding the administrative and general accounts. This will checked out further 
  • The books will be audited for the coming year. A suggestion was made that Lions use a local accountant who audits as a public service.
  • A date for the budget meeting will be set. A suggestion was made that a budget is based on when the money was spent and the organizations Lions have supported.

     

Discussion Items:

1) President Sondra reported that some members would like to forgo having a meeting at Carousel Ranch this year. However, since the International President would like clubs to focus on children during the month of August, this would be a good opportunity to support this goal. Sondra volunteered her home as a place to have a potluck dinner after a meeting at Carousel Ranch. The club would provide the chicken and members would contribute potluck dishes. Sondra will follow up on contacting Carousel Ranch regarding arrangements and a meeting date. Heart of the West Carousel Ranch fund raiser will be on August 28. Sondra asked for volunteers to tend bar for this event, she will follow up with someone from Carousel Ranch for more details. 

2) Governor's Visitation will take place at our meeting on July 21. Sandy will take charge of the food. A simple dinner of pork tenderloin will served and the cost will be $8.00 per person. There will be young people at the dinner to serve and clean up. Tina will decorate and Judi will provide the centerpieces for the occasion. The bar tenders for the evening will be Tina and Tony. Sondra and Sandy will call members as a reminder to attend to support to District Governor Marcia. 

3) A motion was made for Bill Newyear to be added as a co-signer on the Lions Club checking account. The motion was passed. 

4) Our Lions club is need of new letterhead. A motion was made for Kathleen Larsen to redesign a logo for our letterhead. The motion was passed. 

5) The Charter Party was discussed. A committee was formed to brainstorm ideas for a charter party. The members of the committee are: Lions Tina, Sandy, and Virginia. The committee will meet on 7/18 @ 5:00 at Tina's house. 

6) Tina proposed an “Eye on Health Fund Raiser and 5K Run”. This fund raiser would include participants rotating to different stations to check their blood sugar levels, diabetes testing, blood pressure check, eye exams using the Lions eye mobile, as well as a 5K run. Acton Park would be the location for this event and could be co-sponsored by Friends of Acton Park. Lions would ask for a flat fee to participate which would include the different stations and the 5K run. A committee was formed to discuss this idea further. The committee will meet on 7/18 @ Tina's house. 

7) The possibility of our club joining the Chamber was discussed. This would enable the Lions to host a mixer and network. The fee to join the Chamber is $50.00. After a discussion, it was decided the Lions would not benefit by joining the Chamber due to the fact that we are not a business. 

8) The speaker /program meeting will take place the first meeting of the month. At this meeting, it was discussed, that no business would take place. The meeting would consist of the pledge of allegiance, invocation, and introduction of guests, dinner, and the speaker/program. The Business Meeting would take place on the Wednesday following the board meeting. This would enable the board to bring any decisions, ideas, and issues to the membership. 

9) A calendar was drafted for the year by a calendar committee. Tentative dates and activities were discussed. When the calendar is approved, committee chairs will be established. 

10) Sandy will contact Scott Griffin regarding beer tasting for our October 6 meeting. This meeting would replace the Oktoberfest and would include beer tasting and a dinner consisting of an Oktoberfest menu. The dinner price for this meeting would be $12.00 and include both dinner and beer tasting. Lions from other clubs would be encouraged to attend.  

11) Kathleen Larsen agreed to create picture note cards for our club to use as a fund raiser which would support our scholarship fund. She is willing to take on this project for the cost of ink and paper. A suggested price for five cards is either $5.00 or $6.00. A motion was made to proceed with Kathleen's cards. The motion was passed. 

12) President Sondra informed the club that the International President wants every club to have a signature project. A suggestion was made to donate 2 boxes of food from Angel Food Ministries each month totaling $60.00. However, before a commitment can be made, a budget needs to be proposed. 

13) Regarding more publicity for our club, it was discussed that Val DeCrowl from the Country Journal and Gail or John Joyce from Acton-Agua Dulce News be invited to club events and meetings. This would enable them to write articles and would give our club more publicity. We can show our appreciation by providing them with a meal and a drink at our meetings.

7 July 2010 General Meeting

ACTON LIONS CLUB

GENERAL MEETING

JULY 7, 2010

Meeting called to order by President Sondra @ 7:33 pm.

Flag salute and invocation were given.

Introduction of guests: Sophie Jeske, from ErfurtGermany, was introduced by Lions Judi and Ed. Sophie was their youth exchange student from last summer.

Meeting was adjourned for dinner.

Agenda items:

  • Treasurer's Report: Lion Marty reported there are 22 paid members. The food sales for the 4th of July totaled 160 hamburgers and 96 hot dogs sold. The total for the Pancake Breakfast was reported. Lion Marty also reported total amounts in Administrative, General, and Investment Accounts. 
  • Chamber of Commerce: There was a discussion regarding Lions membership in the Chamber of Commerce. The cost to join the Chamber is $50.00. The advantages discussed included; Lions being able to participate in the Fall Festival, networking and a potential source for new members. The discussion was tabled and will be discussed further at the next board meeting.
  • Carousel Ranch: Fund raiser will take place on August 28, Lions are usually asked to tend the bar.   A discussion followed in regard to holding a meeting at the facility, watching the kids, and a potluck. A decision was not reached regarding the meeting.
  • Metro Region Meeting/Installation - July 24. Acton Lions need to attend to support District Governor Marcia.
  • Governor's Visitation – July 21. Lions Joann and Sandy are taking care of the food for this meeting. A light dinner will be served for summer. Young people will be available to set up and help serve. Scholarship recipients are invited. Lion Judi will make the centerpieces and Lion Tina will staff the bar for the evening.

New Business: 

  • PDG Bill would like to set up an appointment with Dr. Woodard (the new school superintendent) to talk about the different students programs sponsored by the Lions. 
Announcements
  • Lion Sandy thanked the club for the plant she received while recovering from her surgery. 
  • Lion Marilyn Morgan fell and broke her hip. She in in the Lancaster Health Care Center and is doing well. A suggestion was made to organize food donations for Lions Ron and Marilyn during this time.
  • Community Club Bingo is collecting “pop tops” for the Lions.
  • President  Sondra thanked everyone that worked at the July Pancake Breakfast.

Tail Twister Tina organized a game to end our evening. Lions played The Price Is Right!

The next meeting will be the Governor's Visitation on July 21.
